Health & Safety Environmental Management Systems

Creating and implementing Health & Safety and Environmental Management Systems which are compliant to ISO 14001 and ISO 45001 respectively and achieve certification.

Phase 1 – Planning and Organising

 

  • Envirosafe consultants met with City Group to provide an overview of the requirements of both 14001 and 45001 standards, what it takes to achieve certification and the benefits of doing so
  • Further meetings were held to determine the high-level activities required to meet the requirements and to understand/define the current operations
  • Gap analysis was undertaken to identify areas of non/partial compliance and action lists created to address these areas

PHASE 2 – Create & Implement

 

  • Envirosafe consultants worked closely with Seniors leaders of City Group to ensure they were fully aware of their H&S responsibilities
  • Health and Safety objectives for the next 12 months were discussed and agreed. Programme plans were created to break down each objective into manageable sub-tasks and to allow monthly progress to be observed
  • A Health and Safety risks/opportunities tracker were created and quarterly H&S Management Meetings arranged
  • Over a period of several months, Envirosafe consultants worked closely with all levels of the City Group team creating and implementing ISO complaint health & safety and Environmental management systems.

Health and Safety activities included (but not limited to):

 

  • Create Safety Management System Policy and Management Framework
  • Create supporting documents
  • Complete Context of the Organisation activities
  • Create Safety Management System Templates
  • Address all gaps identified in the ISO 45001 Gap Analysis
  • Create Legislation Register
  • Consultation with employees – Create Representatives of Employee Safety Committee
  • Create H&S Training Programme and deliver training modules to employees
  • Review occupational health requirements
  • Review current risk assessments (update or create where there are gaps)
  • Create Internal inspection and audit programme including safety walks
  • Create Performance Evaluation Processes – monitoring, measuring, analysis, evaluation, evaluation of compliance, internal audit, and management review
  • Introduce Near Miss Reporting
  • Introduce hazard identification/Near Miss/Safety Observation programme
  • Review Fire Emergency Plan (update if required)
  • Review First Aid procedures
  • Introduce DSE to all office-based employees
  • Review existing procedures for Manual Handling, COSHH, Electricity at Work Compliance, Permit to work, Lone Working, Work Equipment, Emergency Action Plans, Wort at Height, Occupational Noise, Respiratory Equipment, Compressed and Flammable gases, Confined Spaces, Asbestos Control, Legionella policy, Work on Other Sites, Contractor Management policy/procedures (including CDM)
  • Once all above activities were completed, all workers were provided with awareness training
  • Similar activities to those noted above were undertaken for Environmental Management
  • Envirosafe consultants provided support over a period of months as the City Group Team started to use the new systems. Support were provided via Teams calls/email/telephone and weekly site visits

Phase 3 – External Audit

 

  • Envirosafe consultants engaged with BSI to begin the process of gaining certification to both standards
  • Environsafe consultants will attend all stages of the audit programme
  • – Stage 1 Assessment (Documentation)
    – Stage 2 Implementation and effectiveness of the environmental and occupational health and safety management systems by reviewing processes and procedures, observing work practices, and evaluating records and performance data

  • Environsafe consultants will support City Group with any non-conformances raised by BSI including submission of any NCR Action plans to BSI

PHASE 4 –Future Support

 

  • Ensure all aspects of the management systems are reviewed and maintained at least annually
  • Ensure that internal audit programme is working
  • Ensure performance is being measured
  • Provide 24-7-365 support to City Group
  • Attend quarterly HSE management meetings
  • Ensure progress against objectives is being achieved
  • Provide support with ongoing BSI – Surveillance Assessments
  • Continual Improvement
